We have lots of old Cases which are part of Projects which have expired or been cancelled. Some of the activity on those Cases may still be relevant, but the Projects aren't.

We've decided to delete the Projects to prevent any new cases from being raised in them and to gradually review all the old Cases, either resolving them or moving them into a more suitable Project, at our leisure.

We tested this process thoroughly first as we wanted to make sure the Cases which are part of the deleted Projects are still searchable.

We've since done an upgrade to version 8 and (perhaps co-incidentally) found that only Site Admins have the ability to find Cases which are part of deleted Projects. Normal Users performing the same search, don't find the Cases which are part of our deleted Projects.

Can anyone enlighten me on whether this is related to the v8 upgrade (or whether we just missed it in our testing) and more importantly, whether it is by design or a bug we can get fixed.

This functionality also existed in FogBugz 7, but you may not have noticed it if the only people testing deleted projects also happened to be either site administrators or group administrators for the group the now-deleted project belonged to.

The behavior you're seeing is basically an extension of the functionality you're already looking for: preventing people from accidentally using a now-defunct project. Because the project is deleted, users can't add new cases to that project, but non-administrator users also can't see existing cases that are in that project.

Admittedly, this might not line up with the behavior you were expecting. If you'd like to see this behavior changed, please open another question on this site and pose your question as a feature request explaining what you're looking for and why.

In the meantime, to work around this you could make the users who need access to the cases in the now-deleted project into project administrators for that project. This probably isn't ideal, but this would result in those users being able to see cases in the deleted project in their search results.

To do this, let's say the project you've deleted is called Project X.

  1. Go to Admin -> Projects
  2. Click on "Display deleted projects"
  3. Click the "Undelete" icon next to Project X
  4. Edit Project X
  5. Edit Permissions and give the appropriate users Admin permissions on Project X
  6. Re-delete Project X
